How Google’s Workspace Studio Is Transforming Enterprise Workflows

Empower employees to turn fragmented tasks into self-driving workflows with agentic artificial intelligence.

In the modern enterprise, artificial intelligence is no longer just a virtual assistant that writes emails or summarizes documents. Today, employees without expertise can train AI agents to “begin and complete entire workflows,” says Will Kerley, senior field solution architect at CDW.

This is a monumental transition, and at its heart are two AI layers within organizations that employ Google workplace solutions: Gemini for Workspace, which acts as a personal accelerator for individuals, and Gemini Enterprise, the institutional brain that connects Workspace to a company’s broader ecosystem. Gemini for Workspace helps managers draft project plans and marketers create social calendars, while Gemini Enterprise ensures that workflows across multiple systems are secure, governed and compliant with company policies.

The shift from personal assistance to agentic orchestration is already changing the way employees work. Where once someone would manually copy data between apps, Workspace Studio can now execute end-to-end processes automatically.

Workspace Studio Delivers Self-Driving Workflows

Workspace Studio, formerly known as Google Workspace Flows, is the no-code engine that makes agentic workflows possible. Unlike traditional automation, which requires scripting or programming, Studio allows employees to create agents that not only respond to triggers but also reason and act autonomously.

A single workflow in Studio operates in three parts:

  • The Starter (Trigger). Real-time events in Workspace apps initiate the process, such as a high-priority invoice in Gmail or a new row in Sheets.
  • The Reasoning (Brain). Gemini reads and analyzes data, making decisions based on corporate policies. For instance, it can check if an invoice exceeds budget limits.
  • The Action (Output). The agent completes tasks across the ecosystem, like drafting a rejection email in Gmail or creating an approval task in Asana.

Kerley explains that Workspace Studio is particularly accessible for employees without technical expertise. “It’s more than low-code. It’s natural language prompts that allow a worker to essentially train the agent in plain English,” he says. “You just fill in the blanks, and Workspace Studio builds the workflow for you.”

The Value Pillars of Agentic Enterprise Workflows

The adoption of Workspace Studio and Gemini AI represents three major shifts for organizations:

  1. From Low-Code to No-Code. Employees can now automate cross-app workflows with natural language, democratizing operations and eliminating the need for specialized coding knowledge.
  2. The End of Copy-Paste. Agents operate directly within communication layers, turning Workspace into a self-optimizing system where data moves intelligently without human intervention.
  3. Contextual Governance. Workflows are grounded in company-specific data and compliance requirements. Gemini Enterprise ensures that agents adhere to internal policies, producing outputs that are both accurate and secure.

When adopting these tools, organizations are best served by getting help from experts who have experience in them. “We run Gemini Workshops where we get into the weeds with teams — HR, finance and beyond — showing them how to create flows and customize them for their use cases,” Kerley says. CDW also assists customers in integrating third-party systems, whether they’re on Amazon Web Services, Azure or hybrid environments, making AI workflows platform-agnostic.

The combination of Google’s AI capabilities and CDW’s deployment expertise is enabling enterprises to move from fragmented tasks to full-scale, automated workflows. “The thing that you might not see right now in the platform could be there tomorrow as a direct result of our collaboration with Google,” Kerley notes, highlighting the rapidly evolving landscape of enterprise AI.

As companies look to optimize productivity and reduce manual work, Workspace Studio and Gemini AI are turning employees into “citizen orchestrators,” capable of managing complex workflows without writing a single line of code. For businesses ready to explore the potential of agentic automation, CDW’s AI and automation resources provide practical guidance and real-world examples.
